This is a task for the admin. This connection applies to the whole workspace and is authorised once for the entire Zoom account.
With the Zoom integration, cloud recordings of your meetings arrive in Converdo automatically, where they are transcribed and scored. You do not need to upload anything, and no bot joins your meeting.
Before you start
You need:
- Zoom Pro or higher with cloud recording enabled
- A Zoom account administrator to create the connection. This is authorised once for the whole Zoom account, not per user
- Owner rights in Converdo, because the connection applies to the entire workspace
Also enable these two options in Zoom under Settings → Recording:
- Record audio-only files, including the sub-option for all participants. Converdo only processes audio, never video.
- Create audio transcript, and set the original transcript language to your spoken language. Zoom transcribes to English by default regardless of what is spoken. With this setting, Converdo identifies who is speaking and each speaker gets their own name in the transcript. Without it the integration still works, but without names.
Connecting
- In Converdo, go to Settings → CRM & Telephony.
- Find the Zoom cloud recordings section and click Connect.
- You are taken to Zoom, where you sign in as an account administrator.
- Review the access Converdo requests and click Allow.
- You return to Converdo and see the connection listed as connected, with the administrator's email address.
If you see an error, see Troubleshooting below.
Using it
Once connected, no further action is needed.
- Start a Zoom meeting where you are the host. A recording belongs to the host's account, so meetings hosted by someone outside your Zoom account will not arrive.
- Record to the cloud, not locally. Local recordings stay on your computer and never reach Converdo. If you use automatic recording, make sure it is set to cloud.
- End the meeting.
Zoom processes the recording first. This takes a few minutes, and up to about fifteen minutes for a long meeting. The conversation then appears in your Meetings overview with a transcript, summary and scores.
The transcript shows who is speaking. Converdo treats the host as the sales rep; the other participants are the counterparty. If that is wrong for a particular conversation, you can change it on the conversation page using Switch to the other speaker.
Disconnecting
- Go to Settings → CRM & Telephony.
- Under Zoom cloud recordings, click Disconnect.
From that moment no new recordings arrive. The access tokens are deleted, so Converdo no longer has any access to your Zoom account. Conversations already imported remain available and follow your workspace's normal retention policy.
To remove the integration on the Zoom side as well, go to the Zoom App Marketplace, open Manage → Installed Apps, and remove Converdo there.
What Converdo retrieves and stores
Converdo retrieves only the audio file of your cloud recording, plus light metadata such as the meeting topic, start time and the host's email address. If you have the audio transcript enabled, that file is also retrieved to determine who spoke when; Zoom's own transcript is not stored.
Converdo does not retrieve video, chat messages or participant lists, and never modifies or deletes anything in your Zoom account.
Audio is stored within the EU and follows your workspace's retention period. Our data processing agreement sets out exactly which data is processed and by whom.
Troubleshooting
No conversation appears after a recording. Check that you recorded to the cloud rather than locally, and that you were the host. Then check in Zoom whether the recording is ready: while Zoom is still processing, Converdo cannot retrieve it.
The conversation is there, but speakers have no names. The audio transcript was not enabled in Zoom during that meeting. Enable it for future recordings; it cannot be applied retroactively.
The connection reports that it has expired. This happens when authorisation in Zoom was revoked or expired. An account administrator reconnects using the same button.
Connecting fails. Check that you are signed in to Zoom as an account administrator. Only an administrator can approve this account-wide connection.
