This article gives a factual overview of where your data lives, who is responsible for what, and what is stored. The full legal text is in the privacy policy and the terms.
Where your data lives
- Storage in the EU. Recordings and transcripts are held at Supabase, in a data centre in Frankfurt (EU).
- Processing in the EU. Transcription and analysis of calls run via Mistral AI, with processing within the EU.
- No training on your calls. According to our privacy policy, we do not use the content of calls to train AI models.
Who is responsible for what
For the content of calls, the organisation that uses Converdo (your employer) is the controller, and Converdo is the processor: we analyse calls on that customer's instructions. For your account details (name, email address, settings) Converdo is itself the controller.
Who can see what
Within your workspace, departments determine who sees what. An employee in one department doesn't see conversations from another department, and that separation sits in the database itself rather than only in the interface. This is deliberate: it's the difference between a button that hides something and data that genuinely cannot be retrieved.
Workspaces belonging to different customers are entirely separate from one another.
Consent and announcement
Recording conversations calls for care towards the other party. Converdo doesn't place a bot in your meeting and doesn't announce anything itself, except where the meeting service does so. Zoom notifies participants that recording is taking place; on a phone call or a Meet meeting, you are the one who announces it.
Make sure your announcement matches how you use the recordings, and document the legal basis on which you process. The data processing agreement sets out the roles: you are the controller, Converdo is the processor.
What is stored
For a call, Converdo stores the audio recording, the transcript, the scores, the summary and the metadata (such as the time and direction of the call).
For the audio, your admin sets the retention period. The setting is called Audio retention (1 to 8 days), with the note: "Set how long audio recordings are kept. Scores and summaries are retained; transcripts follow the retention period below." Scores and summaries stay, even after the audio has been cleaned up. For transcripts, your admin can set a separate retention period, for the whole account or per department (default: keep indefinitely); after that period, the transcript and the quoted excerpts in the analysis are permanently deleted.
After cancelling
According to our privacy policy and the cancellation procedure: "After the end of the subscription or trial period we keep your conversation data (recordings, transcripts and analyses) for another 30 days. After that it is deleted automatically and permanently. You can export until that moment. Account details and invoice history are retained in line with statutory retention obligations."
Viewing or deleting your data
There is currently no self-service button to export all your conversation data at once. If you want an export or have a GDPR request, contact your admin or support at support@converdo.io.
An owner or manager can permanently delete a conversation from the conversation page. This removes the recording, the transcript and the scores. It cannot be undone.
Use this if something was recorded that shouldn't have been, or when someone asks for a conversation they appear in to be removed.
Deleting a team is done by your admin in the settings under Danger Zone, with Delete Team. That action cannot be undone.
Stopping a connection
If you disconnect a source under Settings → CRM & Telephony, the inflow stops immediately and Converdo no longer has access to that system. Conversations already imported remain and follow the normal retention period.
